Technical Writer Consultant – Maintenance & Operation Manuals Assignment Overview

We are looking for an experienced Technical Writer Consultant to support the development, maintenance, and delivery of technical documentation for advanced products and systems. The consultant will play a key role in gathering technical information, producing high-quality maintenance and operational documentation, and ensuring that all documentation meets customer, operational, and regulatory requirements.

The assignment involves close collaboration with System Engineers, Trainers, Maintenance Specialists, Project Teams, and Customers to ensure documentation is accurate, user-friendly, and aligned with real operational and maintenance workflows.

Key Responsibilities Technical Documentation Development

• Collect and consolidate technical information from System Engineers, Coordinators, Trainers, and Subject Matter Experts.
• Create, update, and maintain technical documentation in XML format, including:
  • Technical Descriptions
  • Maintenance Manuals
  • Troubleshooting and Fault-Finding Instructions
  • Driver and Operator Manuals
  • Operational Procedures
• Ensure documentation is clear, structured, technically accurate, and aligned with applicable standards and project requirements.
• Manage document revisions and maintain configuration control throughout the documentation lifecycle.

Customer & Stakeholder Collaboration

• Participate in customer meetings to capture documentation requirements and ensure customer expectations are met.
• Attend internal project meetings for progress reporting, feedback, and coordination.
• Collaborate closely with engineering, maintenance, training, and commissioning teams.
• Support documentation acceptance activities during testing, commissioning, and final delivery phases.

Quality Assurance & Review

• Review, proofread, and validate technical documentation in both Swedish and English.
• Translate documentation between Swedish and English when required.
• Ensure technical content is consistent, complete, and aligned with system configurations.
• Support peer reviews and proofreading activities within the documentation team.

Technical Illustrations & Content Management

• Create, update, and maintain technical illustrations and visual documentation assets.
• Manage documentation within XML-based authoring environments and Content Management Systems (CMS).
• Ensure documentation follows established templates, structures, and publishing standards.

Customer-Focused Documentation

• Understand how end users, operators, and maintenance personnel utilize documentation in the field.
• Translate customer use cases and operational scenarios into effective document structures and content.
• Align documentation with actual maintenance, troubleshooting, and operational workflows.
• Implement customer-driven validation and acceptance criteria throughout the documentation process.

Required Qualifications Education & Background

• Degree in Technical Communication, Information Design, Engineering, Technical Documentation, or a related discipline.
• Alternatively, equivalent practical experience, such as Maintenance Technician, Service Engineer, or similar technical role.

Professional Experience

• Experience in technical documentation, technical communication, or information design.
• Experience working within technical industries such as:
  • Railway
  • Automation
  • Aerospace/Aviation
  • Industrial Systems
  • Manufacturing
  • Other highly regulated technical environments
• Experience producing maintenance and operational documentation for complex systems.
• Strong understanding of technical systems and engineering concepts.

Language Skills

• Excellent written and verbal communication skills in both Swedish and English.
• Ability to write clear, concise, and user-focused technical documentation.

Preferred Qualifications

The following competencies are considered highly valuable:

• Hands-on experience in maintenance, troubleshooting, or field service activities.
• Experience working with railway vehicles, rolling stock, or rail systems.
• Knowledge of Arbortext XML.
• Experience with XML-based authoring environments and Content Management Systems (CMS).
• Basic scripting or automation knowledge related to documentation processes.
• Experience supporting documentation validation, verification, and acceptance activities.
• Familiarity with safety-critical documentation environments.
• Experience creating technical illustrations and graphical documentation.
